1. INFORMATION TECHNOLOGY SPECIALIST
The Information Technology (IT) Specialist, under the Manager, IT will be responsible for the delivery and administration of IT-related services to ensure the smooth and uninterrupted operation of MCA-Mongolia, including network management and data infrastructure maintenance and oversight.
Duties and responsibilities
- Support the Manager, IT in providing delivery of various IT services (e.g. infrastructure maintenance, database management, etc.) across MCA-Mongolia, ensuring that the quality of execution meets the needs of the organization, approved rules and regulations, and established IT standards.
- Advise MCA-Mongolia staff on overall issues regarding day-to-day IT operation and maintenance and communicate with the user to determine the nature of the problem and support through the problem-solving process.
- Install, modify and repair computer hardware and software of MCA-Mongolia staff, clean up computers, run diagnostic programs to resolve problems, and install and maintain computer peripherals for users.
- Maintain and ensure reliable operation of office printer, camera system, door access control system, telephone system, and time attendance system.
- Maintain and ensure uninterrupted and reliable operation of computers, video and audio-conferencing systems, and network equipment in meeting rooms.
- Preparing and handing over computers and other equipment during the migration of employees of the organization, checking and receiving, documenting, and keeping records.
- Analyze and regularly update the rules and regulations of the responsible information technology system to deliver information technology services without malfunctions and ensure security.
- Manage the application software used in the organization's activities and be responsible for software developments or upgrades to support the efficiency and productivity of broader program deliverables.
- Prepare a detailed report on the results of the work performed and present the conclusions to the management from time to time.
- Responsible for the regular operation of the network equipment, WAN, LAN, VPN network connections, internet traffic, and intranet.
- Draft training manuals, train computer users, and maintain daily performance of computer systems.
- Develop and implement regular testing, update, and maintenance schedule for MCA-Mongolia’s IT infrastructure to ensure functionality and capacity to serve the organization’s needs.
- Responsible for ordering the materials required to ensure the regular daily operation of information technology by the organization’s rules and ensure regular operations.
- Perform additional tasks and responsibilities assigned by the Manager, IT, and Director, Administration of MCA-Mongolia.
Evaluation criteria
Education:
- Bachelor or higher degree in Computer Science, Information Technology, or Hardware Engineering.
Work experience:
- Minimum five (5) years of experience in network administration and related fields.
- A strong working knowledge of computer systems, hardware, and software.
- Must have knowledge of Microsoft Office, Windows OS, and Windows 10/11.
- Knowledge of Microsoft Identity technologies such as Active Directory, Windows File Services, and Group Policies.
- Experience working on office environment equipment
Communication and languages:
- Demonstrated ability to communicate effectively in English and Mongolian, both verbally and in writing. English language proficiency at ILR Level 3 or above is preferred.
2. EXECUTIVE ASSISTANT
The Executive Assistant is responsible for executive support including setting appointments, drafting correspondence, and maintaining the files to support the efficient flow of information between the DCEO, Programs and concerned parties within and outside the MCA-Mongolia.
Duties and responsibilities
- To provide administrative and secretarial support.
- To process appointment requests from internal and external parties to maintain an efficient and organized schedule for the DCEO, Programs.
- To sort communications addressed to the DCEO, Programs to ensure proper prioritization of information and the facilitation of correspondence.
- To support administrative arrangement DCEO, Programs meetings (paper, agenda, logistics, reading materials, etc).
- To inform concerned parties of appointment request guidelines to ensure scheduling protocols are followed consistently.
- To draft responses to basic inquiries to aid in a swift turnover of information to concerned parties.
- To organize documentation for the functional area, ensuring that these are readily accessible to support planning and implementation of activities audit processes.
- To prepare a work plan of action for effective workflow.
- To ensure clear and accurate meeting minutes are taken and disseminated to the members and follow-up action items discussed in the meeting.
- To ensure all Compact documents and required documentation are properly managed, filed, and updated.
- To develop and maintain an annual key event calendar.
- To ensure documents requested for preparation are completed in an accurate and timely
- To perform other tasks as needed
Evaluation criteria
Education:
- Bachelor or higher degree in business administration, management, organizational development, or a similar field.
Work experience:
- Minimum of 3 years of experience working in secretarial and executive assistant functions, office administration other administrative support.
- Demonstrated experience in effective and efficient support to the Executives through management of information and documentation flow, organization of/preparation for meetings and follow-up actions required and deadlines made, maintenance of protocol procedures, and supporting communications between Units.
Communication and languages:
- Demonstrated ability to communicate effectively in English and Mongolian, both verbally and in writing. English language proficiency at ILR Level 4 or above is preferred.
3. TRANSLATOR
The translator has responsibilities of written translation from/to English and Mongolian languages, and editing of translated documents in English and/or Mongolian languages. As needed, provide occasional oral consecutive interpretation from/to English and Mongolian language support to the team.
Duties and responsibilities
- Provide support with written translation and editing of MCA-Mongolia’s internal documents and publications;
- Witten translation and editing of MCA Mongolia’s external documents such as materials for the media, including press releases, media advisories, publications, reports, and other editorial-related texts;
- Ensure high quality of professional translation, proofreading, and editing of all text8 accurately reflecting the meaning found in the original source language and rendering that meaning in the translated work;
- Perform terminology research and use the correct terms and names consistently throughout the translated text and ensure translated text is complete;
- Pay attention to detail at all levels and check for errors (e.g. grammar, syntax, spelling, punctuation, formatting) to ensure the translated text is an accurate, faithful, and consistent rendering of the original text.
- Check and correctly quote references to documents already published;
- Provide occasional oral consecutive and/or simultaneous translation in technical and external partner meetings.
Evaluation criteria
Education:
- University degree in translation or linguistics or a related field..
Work experience:
- At least five (5) years of proven record of working experience providing high-quality translation/interpretation services.
- Experience in working with international or bilateral organizations is a plus.
- Proven technical translation/interpretation skills in English and Mongolian and vice versa.
Communication and languages:
- Demonstrated ability to communicate effectively (in English and Mongolian), both orally and in writing. English language proficiency at ILR Level 4 or above is preferred.
